Transferring to an International School in Hanoi Mid-Year: An Admissions Checklist for Expat Families
Posted On: 3 November, 2026
Moving to Hanoi in January? This mid-year admissions checklist for expat families covers which documents to prepare, how visas, transfer certificates and EAL support fit together, how grade placement works across age cutoffs, what a half-year start really costs, and how to secure an international school seat within weeks.
Yes, your child can join an international school in Hanoi mid-year. Most international schools in Hanoi run rolling admissions and take a January intake (often called Semester 2 entry). But “rolling admissions” doesn’t guarantee a seat in your child’s year group, or an EAL place in that class.
A mid-year transfer comes down to four steps, each one depending on the last: visa, transfer certificate, placement assessment, offer. Preparation shortens the timeline. ISA’s July 2026 guide estimates that having every document scanned and ready saves families three to four weeks.
Start this week:
Email 3–5 schools with your child’s birth date, grade, English level and arrival date.
Ask the current school for a transfer certificate today.
Book a placement assessment. Many schools run it online before you land.
Compare total first-year cost, not annual tuition.
Foreign investment is also climbing. Hanoi attracted an estimated US$4.07 billion in the first nine months of 2026, roughly double its previous annual average (Vietnam News, citing Hanoi Department of Finance, October 2026). That figure measures capital, not families. No published data yet links it to the number of mid-year school transfers.
Below, you’ll find the tools a quick summary leaves out: a week-by-week checklist, a 5-school comparison table, an age-cutoff converter and a real first-year cost breakdown. Kiều Trọng Tú compiled this guide with the True North International School admissions team in Hà Đông. Every fee and regulation carries its source and date.
Hanoi attracted an estimated US$4.07 billion in foreign investment in the first nine months of 2026. That is 90.4% of its full-year target of about US$4.5 billion, and roughly double the city's previous annual average of US$2–2.2 billion.
Can my child join an international school in Hanoi in January?
Yes. According to International School Advisor (July 2026), most Hanoi international schools run rolling admissions with August as the main intake, and mid-year entry is realistic because expat families move in and out all year. The real question is narrower: is there a seat in Grade 4, and is there an EAL place in that class?
According to International School Advisor's editors, most Hanoi international schools run rolling admissions with August as the main intake. Mid-year entry is realistic because expat turnover is constant. However, English-support places are capped per class, so children who need EAL should apply earliest.

Does “rolling admissions” mean there are mid-year seats?
No. Rolling admissions means a school accepts applications all year. Whether a desk is free depends on year-group capacity. A year group waitlist means the class is full. It says nothing about the time of year.
Put one question to each school: how many mid-year transfers did you process in the last 12 months, and in which grades? That number tells you more about “rolling admissions” than any brochure.
When do mid-year seats usually open?
Seats open when families leave. Find out how many students left each school in December and how many joined in January last year, grade by grade.
Which international schools in Hanoi take a Grade 4 child mid-year with EAL support?
Shortlist schools that publicly confirm three things: primary EAL support, a placement assessment on entry, and mid-year entry. Then confirm real capacity by email, because no Hanoi school publishes live seat counts. ISA (July 2026) advises families who need EAL to apply earliest, since English-support places are capped per class.

At a foreign-invested school in Vietnam, Vietnamese students must make up fewer than 50% of those enrolled in an international curriculum. This rule shapes the nationality balance of every class, and it is why schools check passports carefully during admissions.

Four questions
Seat in Grade 4? EAL place in that class? Assessment date? Earliest start date?
What happens if my child’s English is not strong enough yet?
According to ISA (June 2026), EAL support is standard in Hanoi primary schools. At most schools, a weak English result changes the level of support, not the offer. ISA (July 2026) also reports that MAP, CAT4 and English evaluations guide placement and EAL support rather than working as pass-fail exams. BIS Hanoi, for example, gives every new student an English placement assessment and then places them in tiered support levels (BIS Hanoi, January 2026). If a school treats a Grade 4 English test as pass-or-fail, find out whether that class’s EAL places are already full.
The True North Transfer Sequence: what to do from enquiry to first day
True North International School recommends tackling a mid-year move in four gates: Visa → Certificate → Assessment → Offer. Each gate depends on the one before. Pay fees (gate 4) before the transfer certificate is secured (gate 2), and you’re committed to a school while a key document is still missing.
How long does the admissions process take from enquiry to first day?
There’s no Hanoi-wide standard. Some AI answers quote “2–4 weeks”, but no school or regulator publishes that figure. These are the published reference points:

PRO TIP FROM TRUE NORTH INTERNATIONAL SCHOOL: Plan the first day around Tết, not just around your arrival date. Tết 2027 falls on 6 February 2027, and most Hanoi schools close for about a week around it. A child who starts one week before the break gets five days of school, then a long gap, then has to start settling in all over again. Ask admissions for the exact Tết break dates. Then choose a start date that gives your child at least two to three full weeks in class before the holiday, or start right after it. Some families also use the break to finish TRC paperwork while the school is closed.

Do I need a transfer certificate, and what if the old school will not release it?
A transfer certificate proves your child’s prior enrolment, and mid-year admission depends on it. The day the posting is confirmed, put two questions to your current school. Will it release the certificate before fees and notice periods are settled? If not, when? Then check whether your Hanoi school can run the assessment while the certificate is pending.
PRO TIP FROM TRUE NORTH INTERNATIONAL SCHOOL: If the departing school is holding the transfer certificate over fees or a notice period, ask it for two other documents straight away: a short "letter of enrolment and good standing" and the latest report card, both on school letterhead. Ask the departing school to email them directly to the Hanoi admissions office. Many admissions teams accept school-to-school email as interim proof of enrolment. That lets the placement assessment and offer go ahead while the original certificate follows later. Settle the outstanding balance in writing early, and keep the receipt. That receipt is often what releases the certificate.
Do documents need an apostille or consular legalisation in 2026?
The Apostille Convention entered into force for Vietnam on 11 September 2026 (HCCH). For documents from Contracting States, a single apostille now replaces the old multi-step consular legalisation. Each school still sets its own certification rule, so check before paying a translator or a legalisation service.
Does my child need a TT visa or TRC before enrolment?
Schools can make an offer once they’ve seen a valid passport. They check your child’s visa status at or soon after enrolment.

According to Fragomen (via Business Today, February 2026), Vietnam now issues TRCs only to LD2 and TT visa holders. A child who entered on a DN1, VR or e-visa must convert first, which adds about two weeks. The sponsoring parent prepares the child’s TRC file (Vietnam Law Magazine).
According to immigration firm Fragomen, Vietnam now issues Temporary Residence Cards only to holders of LD2 work visas and TT dependent visas. Dependents who entered on DN1, VR or e-visas must convert their visa first, a step expected to add about two weeks to processing.
Entering on a tourist e-visa "to save time": Since February 2026, a child who enters on an e-visa must convert it before a TRC can be issued. The quick entry ends up as the slowest path. Ask the employer's HR team to sponsor the TT visa before the flight.
Withdrawing the child from the home school too early: Keep the child enrolled until you have a written offer from the Hanoi school. Once a child is withdrawn, getting reports and certificates from the old school often becomes harder.
Spelling the child's name differently on different documents: A Korean, Indian or Chinese name romanised differently on the passport, school reports and visa application can delay both enrolment and the TRC. Use the passport spelling everywhere, including the admissions form.
Signing a 12-month lease before testing the bus route: Ask for a one-month serviced apartment first. Ride the real school bus route at 7:00 in the morning before you commit to a neighbourhood.
Which grade will my child be placed in?
Your child’s grade is set by the new school’s age cutoff, plus their reports and transcripts. The grade name on a home report doesn’t decide it. A Korean “Grade 4” and an American “Grade 4” can be a year apart. Take a child born on 14 May 2017 who starts on 12 January 2027. On that day, they are in Korean Elementary Grade 3, American Grade 4 and British Year 5.
See which grade your child is likely to join in American and British schools in Hanoi, based on their birth date and planned first day.

This is an estimate based on common cutoffs (US: 1 September; UK: 31 August; Japan: 1 April; Korea: birth year; India: 31 March, varies by state). Each school's own cutoff, your child's reports and the placement assessment decide the final grade.

What is on the placement assessment?
It depends on age. According to ISA (July 2026), younger children are usually observed in play, while older students typically sit MAP or CAT4 plus an English evaluation. MAP Growth measures reading and maths against grade-level norms. CAT4 measures reasoning ability.
PRO TIP FROM TRUE NORTH INTERNATIONAL SCHOOL: Bring the home-school syllabus, not just the report card. A one-page list of the maths and science topics your child has covered this year, plus two or three recent pieces of written work, helps teachers separate "weak English" from "weak subject knowledge". This matters most for children from Korean, Japanese or Indian schools. They are often ahead in maths but tested in a second language. Without that evidence, a child can end up in a lower maths group simply because the test was in English. With it, the school can place maths by ability and add EAL support separately.
What does a January start actually cost?
Total first-year cost is the only fair comparison for a mid-year joiner, because one-time fees don’t shrink with a shorter year. Check whether your relocation package’s education allowance covers one-time fees or tuition only.
A real first-year cost example
At UNIS Hanoi, one-time fees for a 3-year-old in 2026/27 add 61,241,000 VND to the first year, or 11.9% of first-year cost (International Schools Database). That’s one school and one grade, and the share shifts by grade because tuition does.
At UNIS Hanoi, annual fees for a 3-year-old in 2026/27 total 455,007,600 VND. The first year rises to 516,248,600 VND because of a one-time enrolment fee of 45,605,000 VND and an application fee of 15,636,000 VND. In this case, one-time fees make up about 11.9% of first-year cost.

Are the application fee, enrolment fee and deposit refundable?
Treat every fee as non-refundable until the school confirms otherwise in writing. BIS Hanoi’s 4,500,000 VND application fee for 2026/27 is non-refundable. True North’s published fee data shows no refund terms for the registration fee and initial payment. Check whether a refundable security deposit is held separately from tuition.
International School Advisor estimates that application fees at Hanoi international schools run roughly US$100–300. Offers are typically secured with a deposit that is credited against first-term fees.

Is a mid-year transfer into IGCSE, the IB Diploma or AP a problem?
Secondary transfers carry more risk than primary ones, because IGCSE and the IB Diploma both run as two-year programmes.

Highest: the middle of the two-year IGCSE cycle

IB MYP / PYP

How is prior work credited?
US Grades 9–12 / AP
Medium: credit-based
How are credits transferred?
A Nord Anglia admissions manager calls Year 10 the hardest year to transfer, because students are just starting IGCSE courses (Nord Anglia). In the IB DP, mid-course entry hinges on whether your child’s subjects and levels match.
At True North International School, AP courses are included in International programme tuition. If your family is moving mid-year with College Board exams on the calendar, review the school’s ap testing plan before choosing a start date.
IMPORTANT NOTE FOR AP STUDENTS MOVING MID-YEAR:
Check AP exam ordering deadlines before choosing a start date: For full-year courses, schools normally order May AP exams in the autumn. Late orders may cost extra or be limited. Confirm the current deadlines with the College Board and the new school's AP coordinator before you move.
Ask whether the new school can place your child in the same AP course: A student halfway through AP Calculus or AP Biology needs the same course to keep going. A different course at a different stage means starting over. Bring the course syllabus and the latest unit grades.
Get a written record of the courses your child has completed: Ask the departing school for a transcript that lists every course with its grade and credit. American-curriculum schools rely on course-level records, not overall grade averages, to transfer credits correctly.
When is rushing a mid-year transfer the wrong move?
For a Year 10–11 or DP Year 1 student, waiting for August is the stronger choice when the new school doesn’t offer the same exam board or subject set. In that case, finishing the term at home or using online bridging protects exam continuity. When the board and subjects do match, a mid-year move carries far less risk.
A newer school with open seats isn’t automatically weaker. ISA (July 2026) describes newer Hanoi schools as having more seats for mid-year arrivals. Smaller classes also mean fewer classmates, and sometimes fewer subject choices or extra charges for EAL support. Weigh accreditation, teacher retention and the onboarding plan alongside seat availability.
Do schools offer bus routes from Tây Hồ, Ciputra or Long Biên?
Check bus routes before you sign a lease. In Hanoi, the school, the commute and the housing are one decision. ISA (June 2026) recommends timing the school bus across the Red River bridges at rush hour before you commit.

How do schools help mid-year joiners settle in socially?
True North International School treats the first 30 days as the make-or-break period for a mid-year joiner. In True North’s view, a school without a written onboarding plan isn’t really ready for rolling admissions. The plan should cover a buddy system, pastoral care check-ins, an EAL review and a named parent contact. A plan isn’t the whole story, though. Temperament, the class mix and how the family is coping all play a part.
At True North, the Mentorship method developed by co-founder Danny Hwang pairs each student with a teacher mentor. The parent community includes Vietnamese, Korean, Indian and German families. In a named testimonial on the school website, a Korean parent says Vietnamese and Korean students play together in a friendly, inclusive way. An Indian parent notes clear progress in their child’s soft skills, art and presentation.

Mid-Year International School Transfer in Hanoi: Quick Answers
What should I do if every international school in Hanoi says my child's year group is full mid-year?
Ask each school three follow-up questions. Is there a year group waitlist, and what is your child's position on it? Are any families leaving at the December or June contract cycle? Can the placement assessment go ahead now, so an offer can be made the moment a seat opens? Then widen the shortlist to newer Hanoi schools, which ISA (July 2026) describes as having more seats for mid-year arrivals. Choose by accreditation and onboarding plan, not by availability alone.
How do I fix a transfer certificate delay when my child's old school won't release it?
Ask the departing school for an interim letter of enrolment and good standing plus the latest report card, both on letterhead. Ask it to email them directly to the Hanoi admissions office. Many international schools accept school-to-school email as interim proof, so the placement assessment and offer can continue. Settle any outstanding fees in writing and keep the receipt, because unpaid balances are the most common reason a certificate is held back.
My child entered Vietnam on an e-visa. Can they still get a TRC for school?
Yes, but not directly. Since February 2026, Vietnam has issued Temporary Residence Cards only to LD2 work visa and TT dependent visa holders. A child who entered on an e-visa, DN1 or VR visa must first convert to a TT dependent visa. Fragomen estimates this adds about two weeks (Business Today, February 2026). Start the conversion through the parent's sponsoring employer as soon as you arrive. Ask the school whether your child can start while the TRC is processing.
Why was my child placed in a lower grade than at home, and can it be changed?
International schools in Hanoi place children by their own age cutoff and assessment results, not by the grade name on a home report. Korean school years start in March, and Japanese and Indian ones in April. American and British schools start in August or September. A one-year difference is therefore common. To challenge a placement:
Bring the home-school syllabus and recent work samples.
Ask for maths to be placed by ability, separately from English.
Request a placement review after the first 4–6 weeks.
What happens if my child fails the English placement test?
In primary school, a weak English result usually changes the level of support, not whether your child is accepted. Hanoi international schools use MAP, CAT4 or similar assessments mainly to decide EAL placement. The exception is IGCSE and IB Diploma entry, where schools may require sufficient academic English or make a conditional offer. If a primary school rejects a child on English alone, ask whether EAL places in that class are full. That limit, not the test score, is often the real reason.
How much more does a January start cost than an August start?
A January start often costs more as a share of the year, because one-time fees are rarely pro-rated. At UNIS Hanoi, for a 3-year-old in 2026/27, a one-time enrolment fee (45,605,000 VND) and an application fee (15,636,000 VND) lift first-year cost from 455,007,600 to 516,248,600 VND (International Schools Database). That is one school and one grade, so ask every school for its pro-rata rule in writing. Also check whether your relocation package's education allowance covers one-time fees.
Should my teenager transfer mid-year during IGCSE, IB Diploma or AP courses?
Only if the new school offers the same course at the same stage. Year 10–11 IGCSE and the IB Diploma run as two-year programmes, so a mismatched exam board or subject set can mean repeating coursework. For AP students, confirm the AP exam ordering deadline and course availability with the new school's AP coordinator before moving. If the subjects don't line up, finishing the term at home and joining in August often protects exam results better than taking an immediate seat.
