Executive Assistant

POSITION SUMMARY

We’re looking for an enthusiastic and dedicated Executive Assistant to join our qualified team of educators and mentors. As an Executive Assistant, he/she will be responsible for managing mostly business-related tasks for the team such as creating reports, organizing travel and accommodations, taking minutes, translating and interpreting, and handling other organizational tasks as required by the CSO / CFO. To be successful, he/she must be a competent professional with excellent English and Vietnamese writing and oratory skills, along with the ability to multitask. Our ideal candidate is self-driven, collaborative, and solution-oriented. Prior experience as an executive or administrative assistant is an additive but not a requirement.

RESPONSIBILITIES AND DUTIES:
● Organize meetings, manage calendar events, and take detailed notes of discussions and meetings.
● Follow up on all tasks that are assigned by the CSO / CFO: duties and tasks that were assigned to other departments.
● Prepare reports, memos, invoices letters, and other documents.
● Manage emails and other forms of communication as the initial point of contact and assist in follow-up responses.
● Conduct research and analysis to prepare documents for review and presentation by boards of directors, committees, and executives.
● Help prepare meeting logistics such as setting up meetings, recording meeting minutes, sending follow-up emails, etc.
● Translate for and interpret on behalf of the CSO / CFO during key meetings and public speaking engagements.
● Coordinate and decide when/where other parties and visitors should meet with executives.
● Read and analyze incoming memos, submissions, and distribute them as needed.
● Make travel arrangements for executives.
● Perform office duties that include ordering supplies and managing a records database.
● Complete other tasks assigned by the CSO / CFO

THE CANDIDATES SHOULD HAVE:
● Have a Bachelor’s Degree
● Have experience working in foreign companies as an administrative assistant and/or coordinator
● Proficient at office administrative skills such as – calendar management, great note taking skills, organizational and communication skills
● Outstanding English (equivalent to IELTS: 7.0 or above) and Vietnamese writing and oratory skills
● Computer/tech savvy; can competently utilize Microsoft Word, Excel, and PowerPoint
● Experience in the education industry is an additive
● Be well organized and detail-oriented, is solution- oriented and capable of meeting strict deadlines
